CIVITAS GOV / 02 / Records and privacy PUBLIC CHARTER EDITION / 2956 Who can view account records, images and shared data. 1. Account access Members can view their own accounts. Appointed tellers can review transfers; treasury officers can manage loans and membership. Officer access is checked when records are requested, using current appointments. 2. Payment history Completed entries remain on record. A correction identifies the original entry and the responsible office. Reports must state their date and which accounts and payments they cover. 3. Images and ORION sharing Transfer images are stored privately for the member and appointed tellers. ORION sharing is a separate permission for a named tenant; it is read-only and can be withdrawn. Treasury and auditor access to institutional balances is separate from personal account sharing. 4. Member service records Members can open an enquiry and read replies within Civitas. Appointed servicing staff may keep separate internal notes, assign the case and record follow-up work. Internal notes are hidden from the holder unless their own staff appointment permits access. Member-record lookups are logged. Personal ORION sharing excludes staff cases, custody checks, operating reports and recurring-payment records. 5. Operating returns Each operating return preserves the ledger position and work queues at the time it is recorded. Another treasury officer or auditor reviews it. Original figures and completed reviews cannot be overwritten or deleted. Approval is an operating record, not a payment or a declaration of insured funds. Civitas public standard. Service availability is shown in your member account.
