CIVITAS / MEMBER HELP
Member help
Answers to common questions about your account, transfers and ship loans.
Where do I manage shares, certificates and votes?
Open Products & member business from the member desk. Your products contains voluntary shares, exact term-certificate quotes and working-capital applications. Member votes contains your eligible ballots. Staff reviews and Product settings appear only for current appointed officers.
How do term certificates work?
When certificate issuance is admitted, choose the principal and 7, 14 or 30 days. The review shows the exact fixed return and maturity date. Both principal and the entire return must be held at issue. Redeem after maturity, or explicitly authorize automatic maturity subject to Treasury and account controls. You can stop that authorization. A later rate change does not rewrite an existing certificate.
Can I obtain a cargo or refinery advance?
When Treasury admits the product, prepare a C-10 cargo, C-20 refinery or C-30 reconstruction application under Products & member business. Supply the actual contract, work order or recovery reference. Follow the same record in Loans & offers. An independent officer must issue a written offer; you accept that revision before any funds can be reserved or disbursed.
How do verified service interruptions affect my repayments?
Open Products & member business → Repayment assistance. Select your active loan and provide the actual start, restoration time and verifiable incident reference. Independent Treasury review is required. Approved overlapping periods count once; only affected future deadlines move by the verified duration. Earlier arrears and existing debt remain on record. An officer-benefit extension needs two disinterested confirmations.
Can cargo proceeds repay a loan?
In Industry, open the funded purchase order and report the actual delivered SCU. You may select your active loan and explicitly consent to a 20% deduction from the proceeds the receiver actually accepts. Review the gross amount, estimated deduction and net before submitting. You can withdraw that consent while receiving review is pending. The final deduction is capped at the debt remaining; no deduction is taken from a suspended or repaid loan.
What does a first independent confirmation mean?
Some external payments, loan funding and receiving decisions require two distinct disinterested officers. The first confirmation records a review only. The next eligible officer opens Staff reviews, inspects the source and confirms the same amount and recipient. Changed instructions require fresh review. A saved confirmation is not a posted payment.
Are my votes private?
An independently published ballot records its eligible members. Each currently verified eligible member can submit one choice. Other members and staff see no individual choices through the service. Aggregate totals are released after closing. A ballot does not automatically appoint staff, change permissions or execute financial policy.
Where do I see what needs my attention?
Your account opens on Accounts, showing balances and recent posted activity. Payments → Activity shows payments coming due, invitations, missing evidence and enquiries needing a reply. Open an item to reach its record. Marking it read does not approve or dismiss the work; completion follows the source record automatically. Appointed officers switch to Staff operations → Work. Organization signatories choose their organization workspace.
What does Civitas do automatically?
Every ten minutes, Civitas checks due work, routes it to eligible staff and processes already authorized recurring payments under Treasury controls. It prepares dated operating figures each UTC day. It does not verify external receipts, approve financing, sign an agreement, change accepted terms or declare a Phoenix suspension automatically.
Can lease rent be automatic?
For an active asset lease, open Payments → Scheduled and authorize automatic rent. The worker collects only the unpaid part of one due agreed instalment, with at least seven days between automatic payments. It uses existing checking funds and Treasury limits. A suspension, insufficient funds or a manual-review control stops execution and creates a visible follow-up. You can pause the authorization at any time.
How do I download a statement or receipt?
Open Documents to choose a quarter or your in-game calendar dates and account; statement boundaries use UTC. Download a printable PDF, spreadsheet CSV or JSON record. Opening and closing balances are reconstructed from posted ledger movements. Expand a transaction to download its individual receipt. Pending instructions are not posted receipts.
How do institutional accounts work?
Treasury opens an account against an active organization registry record. Its controller appoints signatories, sets payment limits and opens project or reserve funds. Use the workspace selector in Civitas to switch between your personal account and institutions available to your identity. Corp or ORION administrator access does not grant spending authority.
How are organization payments approved?
An operator submits a payment or a run of up to twenty recipients. One independent signatory is required; two are required at or above the account’s larger-payment threshold. A requestor or recipient cannot approve the payment. After approval, a separate posting instruction checks current authority, monthly limits and funds before settlement.
Can officers work while member transfers are closed?
Yes. Institutional administration, independently authorized internal payments and fund allocations remain available. Ordinary invoice payments and contributions follow member-service availability. External aUEC transfers still require custody handling.
How do I claim an expense?
Open Payments → Invoices & expenses in Personal banking and choose Submit expense claim. Select an organization you currently belong to, its receiving fund, the amount and the receipt reference. An operator reviews the claim and prepares a reimbursement for independent signatory approval.
How does project finance work?
A Treasury officer reviews the organization’s application and issues a written offer. A borrower signatory accepts that revision. Treasury releases the agreed advances from existing lending capital into the named fund. Repayments start after the final advance and require the institution’s ordinary payment approvals. No automatic penalty or compound charge is added.
Who can join?
Active HLN Corp, Group and affiliate members can join. Sign in with your own UCI account and accept the account terms. If your membership is missing, ask the Corp personnel administrator to check your record.
What do HCC and CEB mean?
Checking and savings use HCC. One HCC represents a claim for one aUEC held by a Civitas custodian; it is not a direct view of your game wallet. CEB records a separate charter claim under the Phoenix rules. It cannot be withdrawn as an ordinary aUEC balance.
How do I make a deposit?
Open Payments → Make a payment → Deposit in-game aUEC. Send the exact amount shown to the named custodian, then upload a transfer image to that request. Your checking balance is credited after an appointed teller confirms receipt.
How do withdrawals work?
When transfers are open, you can request a withdrawal from your available checking balance. Civitas reserves that amount while the custodian sends the aUEC. A teller confirms the outgoing transfer. Cancellation, rejection or expiry releases the reservation.
What will my ship loan cost?
Your written offer lists the purchase price, your contribution, the amount borrowed, a fixed lending charge and weekly repayments. The calculator is an estimate, not an offer. No compound charge or late penalty is added automatically. Early repayment adds no new charge, but the agreed lending charge remains payable.
Can I apply for a ship outside the catalogue?
Yes. Choose Another ship and enter its name, seller and quoted aUEC price. A treasury officer must confirm that the purchase is available. A catalogue listing does not mean that every concept, restricted or award ship can be bought for aUEC.
Can I schedule a payment?
Yes. Open Payments to authorize a weekly or monthly internal payment, savings transfer or repayment of your own active ship loan. Choose Review for approval of each payment, or Automatic under Treasury’s controls. You can pause or end an instruction. External aUEC transfers still need a custodian and independent confirmation.
What if I cannot make a repayment?
Open a repayment-assistance enquiry in Messages with your loan reference. An officer will review your circumstances. Missed payments or the loss of a ship do not automatically change the loan terms; Civitas does not provide replacement ships, automatic debt forgiveness or repossession.
Can I view my account in ORION?
Open Connections to allow read-only sharing with HLN Group or HLN Corp’s ORION instance. You can stop sharing there at any time. Sharing your personal account does not merge it with an organization’s accounts or allow ORION to transfer funds.
Contact Civitas
Open Messages in your member account for an account question, disputed entry or help with a repayment. Include the relevant reference. You can read the reply, provide more details or reopen a resolved enquiry there. An enquiry does not change your balance or accepted loan terms.
